Overview

This tutorial teaches how to configure multiple page numbering formats within different sections of a single Microsoft Word document. The workflow divides a document into three distinct segments: preliminary pages formatted with lower-case Roman numerals (i, ii, iii), a Table of Contents with no page numbers visible, and body chapters formatted with standard Arabic numerals (1, 2, 3) starting anew at 1. The process relies on creating section breaks via the Layout tab rather than standard page breaks, which allows Word to treat each section independently. To verify proper section division, formatting marks (Show/Hide ¶) are enabled on the Home tab to display Section Break (Next Page) indicators directly on the pages. Once sections are isolated, the header or footer's 'Link to Previous' setting is disabled in the Header & Footer Tools design menu. This unlinking enables independent formatting for each section, allowing users to apply Roman numerals starting at 'i' for preliminaries, remove numbering entirely from the Table of Contents, and restart numbering at '1' for main content.

Introduction and Document Structure Requirements

00:00

In long documents such as reports, dissertations, and project proposals, standard continuous page numbering is insufficient. Different document sections require specific formatting: preliminary sections (acknowledgements, abstract, dedication) usually require Roman numerals (i, ii, iii), introductory administrative elements like the Table of Contents require no visible page numbers, and main body chapters require Arabic numbers starting from 1. To achieve this in Microsoft Word, the document must be separated into independent sections using section breaks.

  • Standard continuous numbering numbers all pages identically from start to finish.
  • Preliminary pages commonly require Roman numeral formatting.
  • The Table of Contents page often needs page numbering removed entirely.
  • Body chapters should start numbering anew at 1.

Inserting Section Breaks and Verifying with Formatting Marks

01:51

To isolate document regions, navigate to the end of a section (or place the cursor immediately before the text where the new section should begin). Navigate to the 'Layout' tab, click 'Breaks', and under 'Section Breaks', select 'Next Page'. Repeat this boundary creation between the preliminary pages and the Table of Contents, and between the Table of Contents and Chapter 1. To verify section breaks, switch to the 'Home' tab and click the 'Show/Hide' formatting marks button (¶). This exposes 'Section Break (Next Page)' tags within the text.

  • Regular page breaks do not separate header/footer formatting; Section Breaks (Next Page) must be used.
  • Insert breaks at every boundary where numbering style or visibility changes.
  • The Show/Hide tool (¶) visually confirms section breaks are placed correctly.
Layout > Breaks > Section Breaks > Next Page
Home > Show/Hide (¶)

Unlinking Headers/Footers and Formatting Body Chapter Numbers

03:30

Insert page numbers across the document via 'Insert' > 'Page Number'. Because headers and footers inherit properties from preceding sections by default, double-click the header or footer containing the number in Chapter 1. Under the 'Header & Footer Tools' Design tab, click 'Link to Previous' to disable it. Once unlinked, open 'Insert' > 'Page Number' > 'Format Page Numbers', choose Arabic numerals (1, 2, 3), select 'Start at', and set the value to 1.

  • Headers and footers are linked across sections by default.
  • Disabling 'Link to Previous' allows section numbering to behave independently.
  • Set 'Start at: 1' in the Page Number Format dialog so body text resets to page 1.
Insert > Page Number > Top of Page
Header & Footer Tools (Design) > Link to Previous (Toggle Off)
Insert > Page Number > Format Page Numbers > Start at: 1

Configuring Roman Numerals and Removing Numbers from Specific Pages

05:03

Navigate to the preliminary section header or footer. Go to 'Insert' > 'Page Number' > 'Format Page Numbers', select Roman numerals (i, ii, iii, ...) from the 'Number format' dropdown, choose 'Start at', and ensure it starts at 'i'. Next, navigate to the Table of Contents page and double-click its page number. Under the Design tab, ensure 'Link to Previous' is deactivated so removing its number does not delete numbers in adjacent sections. Finally, select 'Insert' > 'Page Number' > 'Remove Page Numbers' to leave the Table of Contents blank.

  • Format the preliminary section with Roman numerals starting at 'i'.
  • Always unlink ('Link to Previous') before deleting a page number from a specific section.
  • Removing a page number while unlinked leaves other sections intact.
Insert > Page Number > Format Page Numbers > Number format: i, ii, iii...
Header & Footer Tools (Design) > Link to Previous (Toggle Off)
Insert > Page Number > Remove Page Numbers
